Exhibitor Refund Process
We are currently working through an unprecedented situation requiring refunds for the 2020 IEEE PES T&D Conference. All exhibitors should have received an email with details on next steps to verify a refund. The email was sent on Friday, July 17 to both the logistics and sales contacts on file for every paid booth or sponsorship. At your convenience, you can verify or update your company contacts by clicking the IEEE Contact Update icon on your exhibitor dashboard (password required). I recommend that you have one person listed as the logistics (primary) contact and a second person as the sales (secondary) contact to ensure important emails are received.

Thank you for your continued patience as we wrap up the 2020 conference and start the planning for 2022.

You must complete the refund verification form to acknowledge the cancellation of your booth and choose your preferred refund or transfer option.  Please do NOT submit duplicate forms. Refunds will be processed as quickly as possible but please be patient due to the size of this event.  Below are the details for your booth, sponsor, meeting room, etc. for your reference.  Form Deadline:  August 7, 2020 (Extended)

Refund Policy
  • What is the refund policy for the 2020 T&D exhibition?
Per the “Failure to Hold Exhibition” section of the exhibition contract, the refund policy for booth space, sponsorships and meeting rooms is as follows:

  • Should any contingency prevent holding of the Exposition; the Exposition may retain part of the Exhibitor’s rental as shall be required to recompense it for expenses incurred up to the time the contingency shall have occurred.

    The critical piece of this clause is that exhibitors are entitled to a refund less a proportionate share of the exhibition expenses.
    • Exhibitor receives 85% refund if transferring payments to 2022 Conference.
    • Exhibitor receives 75% refund if NOT committing to 2022.
    • Sponsors receive 100% refund (including meeting room rentals, Innovation Stage Presentations, etc.).
    * Refunds will be issued via method payment was received (credit card, check, ACH or wire). As some credit card payments were made more than 15 months in the past, you may be contacted by Shawn Boon or Gary Rehor with a request for updated expiration dates, etc.
Can funds paid for 2020 T&D booth and sponsorships be pushed forward to T&D 2022?
  • Yes, exhibitors have the option to transfer 85% of their booth fees and 100% of their sponsorship, etc. fees to the 2022 event.  Exhibitor must complete the refund verification form to request either transfer or refund.
Housing / Hotel Reservations
  • For exhibitors who have booked hotel rooms through Connections Housing, the T&D Housing provider, all reservations will be automatically cancelled, credit cards will not be charged, and no action is required on your part. If you have booked directly with a hotel or through a third-party service (Hotels.com, Expedia, etc.) then you will need to work through those booking agencies to initiate any refunds.
How do I cancel my booth staff and/or conference registrations?
  • Booth Staff registrations will be automatically cancelled. Conference registrations will be refunded 100%.
What about refunds from exclusive and recommended vendors?
  • Refunds from the exclusive and recommended vendors are handled by each respective vendor and follow the refund policies established by those vendors. T&D has made every effort to encourage those vendors to issue full refunds, however, as third-party contractors they set their own policies. Please contact all vendors you’ve ordered services from to discuss order cancellations and refunds.

Any non-exclusive/recommended contractors you use should be contacted as soon as possible regarding cancelling of services.

2022 IEEE PES T&D Planning
  • The 2022 conference will be held April 25-28, 2022 at the New Orleans Convention Center in New Orleans, LA. Exhibitors will be notified in late fall 2020 with details on 2022 space selection.
