Move-In Information

IEEE PES appreciates your support of the IEEE PES T&D Conference and we want to ensure that your onsite experience is seamless.  

To assist you in finalizing the last details please review the following information:

  • Don’t forget to download the T&D Mobile App – best way to find exhibitors, sessions, general show info!
  • Review or update your online listing now! (password required)
  • Pack your badge! If your badge was mailed, don’t forget to bring it with you!  If you are picking up your badge onsite registration opens at 12 pm on Sunday, April 15 in Lobby A/F (Meeting Room Level), (badge holders also available at that time).
  • Wristbands available for set-up staff at the Lobby F entrance (Exhibits Level) Thursday – Sunday.
  • The only company with access to the attendee lists (emails, addresses, etc.) is Convention Data Services.  If any other company offers to sell you the 2018 IEEE PES T&D Attendee list – it is a scam! You may order the official attendee list online.
  • Fast, timely follow-up is essential to maximize your 2018 IEEE PES T&D investment and the XPress Connect can help. Save time and money by ordering online.

General Information
  • Exhibits are located in Denver, Colorado at the Colorado Convention Center, Halls A-F (Third Floor).
  • Exhibit Hall Access:
    • Registration opens in Lobby A/F (Meeting Room Level) on Sunday at 12 noon (beat the rush).  At this time you will be able to pick up badges and/or badge holders.
    • Wristbands available for Exhibitor set-up staff at the Lobby F entrance Thursday – Monday.
    • EAC labor personnel must go through the convention center security office in Lobby B for their wristbands.
  • T&D Show Office is located in room 301, this is located near Lobby F on the meeting room level. The office will be open from 8 am – 5 pm, Friday, April 13 – Thursday, April 19, please call (703) 662-3602 for assistance. Secure overnight storage is offered in the security office in Mezzanine Office A. this room for exhibitors wishing to secure small items such as laptops, etc. You may bring your items to the office at 5 pm each night.
  • Floor Managers are available in the exhibit hall to assist you throughout the show.  IEEE PES Exhibit Staff can be reached at (703) 662-3602.
  • The First Aid Station is located on the meeting room level across from room 507. They will be open move-in through move-out. 
  • Security office is located on the Mezzanine Level in Show Office A. 
  • Show Schedule Information (Full schedule available online)
    1. Target Move-in begins on Thursday, April 12 and continues through Friday, 13.  All exhibitors including linear booths (10x10, 10x20, etc.) can move-in Saturday, April 14 through Monday, April 16.  All booths must be set by 4 pm on Monday. Be sure to review the Clean Floor Policy to know when your crates must be marked empty for removal from the show floor.
    2. All exhibitors are invited to attend the Conference Opening Reception Monday evening at the Convention Center in the Mile High Ballroom. Get your booth set-up and join us, but don’t forget your badge.
  • Shuttles:  Service is provided to and from the convention center and official show hotels (that are not within walking distance) only.  Service will begin on Monday, April 16 at 6:30 am.  Complete schedule information and locations of the stops will be posted in the Lobby B in the convention center, hotel lobbies and the Final Program.

POV Access  - Privately Owned Vehicles (POV’s) will be directed upon arrival to the designated POV check-in area.  Full instructions online.
  • The next IEEE PES T&D Show will be in Chicago, April 20-22, 2020.  Space Selection will start this fall and information will be sent to all exhibiting companies prior to exhibit sales opening. No reservations for booth space will be made onsite.

Booth Rules Below is a brief list of a few of the show rules and regulations for exhibitor booths, click here for full rules. For additional information or to order services please refer to the online exhibitor manual.
  • No display material of any kind, including, but not limited to, signs, banners or logos may be suspended from the ceiling. No balloons or blimps may be suspended or tethered.
  • All floor space in your booth must be carpeted. Show Management will authorize the official contractor to carpet, at the exhibitor's expense, any booth space not covered by 4 p.m., Monday, April 16.
  • Exhibit displays must not exceed the following height restrictions
  1. Linear booths are not permitted to be over 8’ tall in the back half of their booth
  2. Linear booths are not permitted to be over 4’ tall in the front half of their booth, allowing for line of sight to neighboring exhibitors.
  3. Island booths are not permitted to be over 20’ tall and if over 30’ wide must allow for 10’ openings for every 20’ of display structure.

Exhibit Hall Access Hours
Exhibitors and EACs (Exhibitor Appointed Contractors) have access to the exhibit hall based on the following schedule. Note: This is NOT the show hours, the times listed below are the times exhibitors and EACs will have access to the show floor with their badges/wristbands.

Exhibitors needing to work late after these posted hours must receive permission from their onsite floor manager. In addition, after these times, workers must remain in their booths. Once workers exit the hall, re-entry may be prohibited.

Exhibitor Appointed Contractors
  • Approval emails have already been sent to EACs that have the proper insurance on file. If the EAC is not approved it can significantly delay their access to the exhibit floor and they may charge you for labor hours while they wait for approval to enter.
  • If you are planning to use an independently appointed contractor for assembly and/or dismantling your booth, you must submit an EAC work authorization form and proof of insurance. If you have not submitted appropriate documentation and wish to use an EAC, please contact the show management immediately at (703) 662-3602.
  • Wristbands give EACs access to the show floor between 7:30 am – 5 pm during move-in and move-out only and are available at the EAC desk at the convention center security office in Lobby B. This information has been communicated to the approved EACs. The wristbands must be worn at all times during move-in and move-out and be clearly visible to security personnel.
  • If EAC’s need access to the show floor on show days they must register as exhibitor booth personnel.
  • Please review the list of policies regarding EACs.

Move-Out Reminders (more information)
  • Move-out will begin when the Show Floor closes at 3 pm on Thursday, April 19.
  • Freeman will remove the aisle carpet first and then freight doors will then open for empty containers to be returned.
  • Any exhibitors requiring forklifts, display labor, boom lifts or other special handling equipment should contact Freeman prior to the close of the show.
  • Do not leave any personal items in your booth including laptops, electronic equipment or valuables. Exhibitors are responsible for all contents within their booths.
  • Freeman is planning to have all cartons and crates returned to exhibitors by midnight Thursday.
  • All outbound shipments require a Freeman Outbound Material Handling Form, which should be returned to a Freeman Service Desk once materials are packed and ready to be shipped, but no later than 12 pm on Saturday, April 21. – You can use Freeman Online Mobile to submit your outbound material handling form, without going to the service desk.
  • Carriers should check in no later than Saturday, April 21 at 10 am.
